Guide to Entering Travel Information and Paying Service Fees

Please review the steps below and complete the enrollment process for the Crisis Management System. Enter your departure date, return date, and overseas travel insurance details yourself.
A credit card is required to pay the service fee.
* The credit card does not need to be in the traveler's name; cards belonging to family members, etc., may be used.
* If you do not have a credit card, please contact the JCSOS.
Travelers whose payment is complete will receive an automatically generated email. Once you receive the email, please check its contents and download/print any necessary documents as required.
Procedure Steps
Required for procedure: Credit card

Step 1: You will receive an email.

Step 2: Open the URL and enter your travel information
The following screen will appear. Press “「同意する(Agree)」” to begin the procedure.

Step 3: Enter Traveler Information
Enter your travel information. Fill in all fields marked with a red asterisk (*) on the screen below, then click “次へ(Next)”.

Regarding the Input of Destination Country and City of Stay
Country and city names can be entered directly. Alternatively, press the search icon and enter the first letter(s) of the place name (alphabet or katakana) to display suggestions, from which you can also make your selection.

※If you have multiple countries or cities of stay, you can select up to five locations via “+ 渡航先・滞在都市追加(Add Travel Destination/City of Stay)”.
※Cities of stay are selectable from options registered with the Ministry of Foreign Affairs' “Tabi-Regi” system. Therefore, your planned city of stay may not appear as a selection. In such cases, please select the nearest city to your planned destination from the available options.
※Registration without specifying a city is possible. However, if the city name field is left blank, emails will be sent from all Japanese embassies and consulates in the country where you will be staying.
Please verify that the information entered on the details screen is correct. There is a section to enter information about your overseas travel insurance. Refer to your insurance documents, enter the required information, and then press “次へ(Next)”.

Step 4:Check your travel period and destination and enter your credit card information.
Read the notice regarding third-party provision of personal information, press “Agree,” and proceed to the payment screen.
Confirm the departure date, return date, and destination are correct. Enter your credit card information and press the payment button.
Step 5:Check that the payment completion screen is displayed
Once the screen below appears, your payment process is complete. After completing the process, you will receive a separate email confirming completion.
You will receive a separate confirmation email once the payment is complete.
Period Change (Extension/Shortening)
If you wish to change (extend/shorten) your travel period, please notify your school in Japan.
The school will adjust your enrollment period in the crisis management system.
Additional fees incurred due to extending your travel period must be paid by credit card, as with the initial application.
Refunds for shortening your travel period will be processed later through your credit card company.
After completing the travel period change procedure, you will receive a separate email notification.
